Privacy Policy
Last updated:
This policy explains what personal information General Staffing collects through this website and our recruiting work, why we collect it, who we share it with and the choices you have. We have tried to keep it short and plain. If anything is unclear, email us at hire@generalstaffing.com.
1. Who we are
General Staffing LLC ("General Staffing", "we", "us") is a nearshore staffing and recruiting company. We help U.S. companies hire professionals from Mexico and Latin America. Our office is at 2075 East Governors Circle, Houston, TX 77092, USA, and our phone number is +1 (281) 886-3607.
This policy covers generalstaffing.com, the forms and chat on it, the sign-in areas for clients, candidates and staff, and the emails we send. It does not cover other websites we link to, such as LinkedIn or our social media pages, which have their own policies.
2. What we collect
We collect only what we need to run our service. Most of it comes from you directly.
From clients and prospective clients
- Your name, company, job title, business email and phone number when you contact us, use the savings calculator or submit job requirements.
- Details about the roles you want to fill, such as the job description, skills, budget and timing.
- Messages and meeting requests you send us.
From candidates
- What you enter when you apply: your name, email, WhatsApp or phone number, country and city, current or last job title, English level, years of experience, LinkedIn profile link and any cover note.
- Your CV. Today the application form records only the file name; the file itself is not uploaded. When we turn on file uploads, CVs will be kept in private cloud storage that only authorized staff can open.
- Your video introduction, if you choose to make one. You can record it with your camera in the browser or pick a file. Today the video stays on your device and we keep only its details (whether it was recorded or uploaded, its length and its size). When uploads are live, videos will be kept privately in the same way as CVs.
- Information from our recruiting process, such as interview notes, assessments, references and where you are in the hiring process for a role.
From live chat
If you use the chat window on our public pages, the messages you write, and any name or email you give, are handled by our chat provider, Crisp, so that our team can answer you.
Account and sign-in data
If you have an account, we keep your name, email address, account type (client, candidate or staff) and your sign-in sessions. Clients and candidates sign in with a one-time link sent by email, or with Google or LinkedIn where those options are shown. Our staff sign in with their Microsoft work accounts. We keep a security log of sign-ins and important account actions, including the IP address and browser used.
Technical data
When you send a form or an application, we record your IP address and browser type with it. We use them to block spam and to limit how many forms one connection can send in a short time. Like any website, our hosting provider also processes IP addresses to deliver pages. We do not use advertising or analytics trackers on this site.
3. How we use it
- Recruiting and matching. To review applications, match candidates with open roles and keep candidates informed about their applications.
- Presenting candidates to employers. With your agreement on the application form, we share your profile, and your video if you made one, with prospective employers for the role you applied to and similar roles. We share this only as part of our service. Clients do not see a candidate's email address or phone number, or our internal notes and ratings, unless they need them at a later stage, such as to arrange an interview or an offer.
- Serving clients. To answer inquiries, understand your hiring needs, prepare proposals and deliver our staffing services.
- Communicating with you. To reply to messages and chats and to send emails about your request, application or account.
- Keeping the site safe. To prevent spam, fraud and abuse, protect accounts and fix problems.
- Meeting legal obligations. To keep records required by law and respond to lawful requests.
If we send marketing emails, every one will include a way to unsubscribe, and you can also ask us to stop at any time.
4. Legal bases and consent
Where the law asks us to have a reason for using personal information, we rely on one or more of these:
- Your consent, for example when you agree on the application form that we may share your profile and video with employers. You can withdraw consent at any time; it does not affect anything we did before.
- Taking steps you ask for or performing a contract, such as considering you for a role or delivering services to a client.
- Our legitimate interests in running and protecting our business, such as recruiting, improving our service and preventing spam, balanced against your rights.
- Legal obligations, such as tax and employment record keeping.
5. Who we share it with
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share it only in these cases:
- Prospective employers, who see candidate profiles as described above.
- Service providers that run parts of our service for us and may use the data only to do that work:
- Vercel, which hosts the website (United States).
- Neon, which runs our database, where forms, applications and accounts are stored (United States).
- Microsoft 365, which we use for email, including the notifications sent from notifications@generalstaffing.com, for meeting bookings and for staff sign-in.
- Crisp, which provides the live chat on our public pages.
- Anthropic, whose Claude AI powers the optional role helper on the job requirements form (see the next section).
- Google, which provides the map on our contact page and, where offered, Google sign-in.
- LinkedIn, where we post jobs and which you can use to sign in where offered. Following a link to LinkedIn takes you to LinkedIn's own site.
- A private cloud storage provider for CVs and videos, once file uploads are turned on.
- Legal requirements and safety. When the law requires it, or to protect the rights, property or safety of our candidates, clients, staff or others.
- Business changes. If General Staffing is involved in a merger, acquisition or sale of assets, personal information may transfer as part of it, under this policy's protections.
6. Artificial intelligence
Our job requirements form has an optional helper that suggests a role title, level and summary from a plain description of the work. When this feature is turned on, the description you type is sent to Anthropic's Claude API to produce the suggestion; otherwise it is matched against our own role pages. Please describe the work, not people, and avoid typing personal information into it.
We do not use AI to decide who gets hired. Candidate applications and video introductions are reviewed by people on our team, and hiring decisions are made by people at General Staffing and our clients. No hiring decision is made by a fully automated process.
7. International transfers
We are based in the United States, and our service providers store and process data mainly in the United States. Many of our candidates live in Mexico and other Latin American countries, so applying through our site means your information is transferred to and processed in the United States, where privacy laws may differ from those in your country. We use the transfer to consider you for roles with U.S. employers, which is the service you ask us for, and we protect your information as this policy describes wherever it is processed.
8. How long we keep it
We keep personal information only as long as we need it for the purposes above. Client and inquiry records are kept for as long as we have a business relationship and for a reasonable time after it. Candidate profiles are kept so we can consider you for future roles, and we review inactive candidate data periodically and delete or anonymize what we no longer need. Spam submissions and technical records are not kept longer than we need them for security. Some records must be kept longer when the law requires it.
Candidates can ask us at any time to delete their information by writing to apply@generalstaffing.com or hire@generalstaffing.com.
9. Security
We use reasonable safeguards to protect personal information. The site runs over encrypted connections (HTTPS), our database connections are encrypted, staff access is limited by role and checked on every request, sign-in sessions are kept in secure cookies, and important actions are logged. No system is perfectly secure, so we cannot guarantee security, but we work to fix problems quickly and will notify you where the law requires.
10. Your rights and choices
Depending on where you live, you may have the right to:
- know what personal information we hold about you and get a copy of it;
- correct information that is wrong or incomplete;
- ask us to delete your information;
- withdraw your consent or object to certain uses, and opt out of marketing emails;
- opt out of the sale of personal information or targeted advertising (we do neither); and
- appeal if we turn down your request.
Laws that may give you these rights include U.S. state privacy laws such as the Texas Data Privacy and Security Act and the California Consumer Privacy Act as amended by the CPRA, where they apply to us; Mexico's Federal Law on the Protection of Personal Data Held by Private Parties (LFPDPPP), including your ARCO rights of access, rectification, cancellation and opposition; and Brazil's General Data Protection Law (LGPD). We honor reasonable requests from anyone, even where a specific law does not apply.
To make a request, email hire@generalstaffing.com (candidates may also use apply@generalstaffing.com). We may need to confirm your identity before acting, and we will reply within the time the applicable law allows. You can name an authorized agent to act for you where the law permits. We will not treat you differently for using your rights.
11. Cookies
We use only a small number of cookies:
- Sign-in cookies. If you sign in, a secure session cookie keeps you signed in, and a small cookie lets our pages show a link to your dashboard. These are needed for accounts to work and are removed when you sign out or the session ends.
- Live chat. Crisp sets its own cookies so the chat window can keep your conversation across pages and visits.
- Embedded content. The Google map on our contact page is loaded from Google, which may set its own cookies under its own policy.
We do not use advertising or analytics cookies. You can block or delete cookies in your browser settings; if you block sign-in cookies, you will not be able to sign in.
12. Children
Our website and services are meant for adults and are not directed to anyone under 18. We do not knowingly collect personal information from children. If you think a child has given us information, contact us and we will delete it.
13. Changes to this policy
We will update this policy when our practices change, for example when we start storing CVs and videos. The "Last updated" date at the top shows when it last changed. If a change is significant, we will make it clear on this page or let account holders know by email.
14. Contact us
For any question or request about privacy, email hire@generalstaffing.com. Candidates may also write to apply@generalstaffing.com.
